Start with correct business details

Keep your legal business name, address, GSTIN when applicable, invoice sequence and customer details consistent. Your software should not guess tax treatment for you.

Define what each line item represents

Membership, admission, personal training and other services should be described clearly. Avoid vague labels that make reconciliation difficult later.

  • Use a unique invoice number
  • Record payment method and date
  • Keep discounts visible rather than hiding them in the final amount

Reconcile collections with invoices

An invoice and a payment are related but not identical. Partial payments, pending proofs and outstanding balances must remain visible until the collection is verified.

  • Verify UPI screenshots before recording payment
  • Record who approved the payment
  • Preserve a clear audit trail

Frequently asked questions

Do gyms need to charge GST in India?

GST registration depends on your turnover and your state's rules, and fitness services are taxable once you are registered. Confirm your own position with your accountant; VIOFIT records the data you need either way.

Can VIOFIT produce GST invoices and summaries?

Yes. VIOFIT creates Indian-format invoices you can share as PDF, and the Gym CRM produces a GST summary and a profit and loss statement for any period.
